The role
What a Zoho Consultant Actually Does
A Zoho consultant maps your business processes, configures Zoho to match them, integrates your existing tools, migrates your data, trains your team, and hands you a system that works for how your business actually operates.
That is what the role is. What separates consultants is what happens before the configuration starts.
What Most Zoho Consultants Skip
A consultant who opens Zoho before producing a written requirements document is building your system around assumptions. Watch for these before signing anything:
No Functional Requirements Document produced before configuration starts
Cannot name which documents you will own at project close
Verbal handover at the end with no written record of how the system was built
No UAT against real business scenarios before go-live
Post-launch support described as “we will be available” with no defined scope
What Documentation-First Consulting Looks Like
Before any module is opened, a documentation-first consultant produces two things:
FRD (Functional Requirements Document)
A written map of your business processes and what the system needs to do. Written in business language. Signed off before a single field is configured.
TRD (Technical Requirements Document)
The technical blueprint. Every module, every automation, every integration, every data flow. What the build is executed against.
Both documents belong to you at project close. If the consultant is ever unavailable, any qualified Zoho consultant can pick up from these documents immediately.
If a consultant cannot answer “what do I own at the end of this project” with specific document names, that is your answer.
Where we help
What Problems a Zoho Consultant Solves
Previous implementation failed or was abandoned
The system is live but nobody uses it. Processes were never documented, so nobody knows why things are configured the way they are. We audit what exists, produce a new FRD, and rebuild against a documented spec.
Data siloed across departments
Sales is in one place, finance in another, operations in a third. We restructure the architecture so your team has one source of truth, with every integration documented so your team can maintain it without calling us back.
CRM your sales team does not use
The pipeline does not reflect how your team actually sells. We restructure the stages, build automation around real sales behaviour, and run training against live deals, not demo data.
Finance team reconciling between systems manually
We build the integration, automate the sync, and document every workflow. If anything breaks, your team knows exactly where to look and why.
Migrating from another CRM or system
We handle migrations from Salesforce, HubSpot, QuickBooks, Xero, Microsoft Dynamics, and spreadsheet-based systems, with field mapping documented, duplicates removed, and post-import validation run before go-live.
Zoho not connecting with your existing tools
If your business needs Zoho to talk to your e-commerce platform, shipping stack, support system, or ERP, we build and document the integration so your team understands what is connected and how.
HR onboarding still on spreadsheets alongside Zoho People
Zoho People Plus onboarding workflows, automated, documented, and handed to your HR team to manage independently.

How we deliver
The ISO → FRD → TRD → Build Process
Every Evoluz engagement follows this sequence. Use it to evaluate any Zoho consultant you are considering. A consultant who cannot map their own process to these four steps is operating without one.
ISO
ISO: Discovery and Scoping
We map your current operations, identify where data breaks, and agree in writing on what the system needs to achieve. Nothing is assumed. Everything is documented.
Output: Signed scope document
FRD
FRD: Functional Requirements Document
We translate your business processes into a written specification. What the system needs to do, in business language, agreed by both sides before a single field is configured.
Output: Functional Requirements Document, yours at project close
TRD
TRD: Technical Requirements Document
We translate the FRD into the technical blueprint: modules, custom functions, automations, integrations, data flows, user roles. Nothing gets built that is not in the TRD.
Output: Technical Requirements Document, yours at project close
BUILD
BUILD: Implementation Against a Documented Spec
Configuration, integrations, data migration, and UAT all run against the TRD. Your team tests against real business scenarios before go-live. Issues are resolved before launch, not after.
Output: A live system, tested, documented, and yours to operate
We implement the full Zoho suite. Each engagement is scoped to the products your business actually needs, not the full catalogue.
Zoho CRM
Pipeline design, custom modules, stage-based automation, lead management, and sales reporting built around how your team sells. For businesses migrating from Salesforce or HubSpot, we handle the full data migration with field mapping documented.
The full operating system for your business. We scope which of the 50+ Zoho apps your business actually needs, configure them to work together, and document the architecture so you are not paying for apps that sit unused.
Invoicing, expense tracking, bank reconciliation, and billing automated end to end. We integrate Zoho Books with your accounting stack, eliminate manual reconciliation, and document every sync so your finance team can manage it independently.
Custom applications built on Zoho Creator for use cases the standard apps do not cover: field service management, inventory tracking, approval workflows, client portals, and more.
HR workflows from onboarding to offboarding, automated and documented. Leave management, attendance, performance reviews, and onboarding checklists built to match how your HR team actually operates.
Email campaigns, social scheduling, lead scoring, and marketing attribution connected to your CRM. Every lead captured, scored, and routed without manual intervention.
Support ticket management, SLA automation, and customer portal setup. Integrated with Zoho CRM so your support and sales teams share the same customer view.
Dashboards and reports built on your actual business data across all connected Zoho modules. Daily automated reports, real-time metrics, and scheduled exports replacing manual extraction.
Evoluz serves clients across the US, UK, Australia, UAE, Canada, New Zealand, and South Africa. All implementations are managed remotely with structured milestone reviews throughout the project.
A US-based product business was managing bills, invoices, and payments manually across Zoho Books, Zoho Inventory, and QuickBooks. Sync failures were frequent. Daily financial reporting required manual extraction every morning before work could begin.
What we implemented
Real-time bill and invoice sync between Zoho Books and QuickBooks via Zoho Flow.
Bi-directional payment status updates.
Automatic customer and item creation to prevent sync breaks.
Error visibility fields in Zoho Books.
Daily automated financial reports delivered by email.
A Zoho consultant maps your business processes, configures Zoho to match them, migrates your data from existing systems, builds integrations with your other tools, trains your team, and documents the system so you can operate it without ongoing dependency. The difference between a good consultant and an adequate one is what happens before configuration starts: a requirements document that belongs to you.
Fees vary by scope, number of modules, integrations required, and data migration complexity. Evoluz operates on a project basis for implementations and a retainer basis for ongoing administration. The Architecture Review at no cost produces a written scope and cost estimate before any commitment is made. That is the right starting point before comparing quotes.
A subscription gives you access to the software. It does not configure the software around your processes, migrate your existing data, build integrations with your other tools, or train your team. If your business has more than 10 users, existing data to migrate, or multiple departments with different workflows, a consultant significantly reduces the risk of a failed or underused rollout.
A Zoho CRM implementation typically takes 4 to 8 weeks. A multi-product implementation covering CRM, Books, Inventory, and Analytics runs 10 to 16 weeks depending on data complexity and integrations required. Timeline is confirmed during the scoping phase, in writing, before any work begins.
Every Evoluz engagement includes 30 days of post-launch support with a defined scope. At project close you receive the full documentation package: FRD, TRD, automation log, and configuration guide. For ongoing administration, automation improvements, and expansion into additional Zoho products, we offer monthly retainer packages. Because the system is fully documented, you are never dependent on Evoluz to operate or modify it.
Yes. We serve clients across the US, UK, Australia, UAE, Canada, New Zealand, and South Africa. All implementations are managed remotely with structured milestone reviews. See our regional pages for location-specific detail.
